How to choose a refrigerated freight partner for food and pharma

Compare refrigerated carriers using temperature records, transfer checks, and a worked example of a monitoring gap.

Choose a refrigerated freight partner by checking the complete temperature record, each transfer point, and who can act when a load is delayed. A trailer setpoint alone cannot tell you what happened to the product between the shipping dock and the receiver.

$19.75 billionCombined 2025 U.S.-Mexico truck trade in edible fruit and nuts, and edible vegetables and roots.

Did you know? Adding two commodity rows in the Bureau of Transportation Statistics' 2025 report gives $19,750,846,903 in trade. These categories include products with different handling needs; the total is not a measure of refrigerated freight. The useful buying question is which controls your particular product needs at each handoff. Source: BTS, Table 4b.

Start with the product specification

Before asking for rates, give each bidder the same written shipment brief: commodity, packaging, pallet count, weight, origin, destination, ready time, receiving appointment, and the product owner's temperature and handling requirements. Include whether the freight can share equipment with other commodities and whether transfers are acceptable.

For food, FDA's sanitary transportation framework covers matters such as suitable equipment, sanitary operations, training, and records, with applicability and exemptions depending on the operation. The agency allows the shipper and carrier to agree on an appropriate temperature-monitoring mechanism. A sales claim about “FSMA compliance” does not describe the arrangement for your load. Ask for it in writing. FDA rule overview; FDA explanation of monitoring responsibilities.

A refrigerated-carrier comparison table you can use

Ask the bidderEvidence to requestWhat an incomplete answer misses
Which temperature and handling instructions will dispatch receive?A shipment-specific instruction sheet accepted before pickup.“We run reefers” leaves the commodity requirements undefined.
How will the equipment be prepared?A preparation and inspection process matched to the product, including precooling when needed.A refrigeration unit can be running before the load is ready to travel.
What exactly does the temperature record measure?Sensor location, reading interval, calibration information, timestamps, and a sample export.Supply air, return air, and product readings answer different questions.
Will the cargo change trailers or enter storage? Each planned transfer, facility, responsible operator, and monitoring arrangement.A clean linehaul record may leave an undocumented dock interval.
Who receives an alert outside business hours?A named duty role, contact route, response target, and escalation authority. An alert has little value if nobody can authorize the next action.
What happens if the receiver refuses the load?A hold-and-escalate procedure and the party authorized to decide product disposition. The driver should not have to improvise a product-safety decision.
What records accompany a claim?Required documents, reporting deadlines, insurance terms and exclusions for the actual movement.A certificate alone does not explain coverage for a temperature-related loss.

Measure the gap between two otherwise good records

Consider an illustrative transfer: the inbound trailer's record stops at 10:00 and the outbound record starts at 10:45. On an eight-hour movement, that leaves 45 of 480 minutes, or 9.4% of elapsed time, without coverage from those two records. A warehouse logger or product logger could close the gap. Without that evidence, neither trailer report explains the whole journey.

Illustrative record gap: 45 minutes / 480 minutes × 100 = 9.375%, rounded to 9.4%.

This is a worked documentation example, not a Texas Freight shipment, an observed failure rate, or evidence that the product went outside its permitted range.

Use the example in a bid review. Ask each provider to explain how it would reconstruct those 45 minutes. That tests the relationship between carrier and warehouse more directly than a general promise of continuous visibility.

Food and pharmaceutical freight need separate qualification

A food-transport process does not establish suitability for a pharmaceutical shipment. For finished drug products, 21 CFR 211.142 addresses written warehousing procedures, quarantine before quality-control release, and appropriate storage conditions.

For a pharmaceutical movement, have the product owner's quality team approve the route and handling plan. Ask what qualification evidence is available for the proposed equipment and packaging, how monitoring data can be retrieved, and how an excursion will be escalated. Use the actual product specification; “pharma” is not one temperature setting.

Compare the quote with the operating plan

A dedicated movement and a consolidated service may have different transfer patterns. Ask for the planned route, expected stops, loading arrangements, and what would trigger a change. If a bid permits additional handling, price the monitoring and coordination that handling requires.

List detention, storage, redelivery, weekend service, and any monitoring charges separately. Then ask who approves extra spending when the appointment slips. This makes quotes comparable without assuming the lowest transport rate produces the lowest total cost.

Discuss a refrigerated movement with Texas Freight Co.

Texas Freight Co. is based in Houston and offers refrigerated ground transportation alongside FTL, LTL, specialized freight, and air and ocean forwarding. Send dispatch your shipment requirements so the team can confirm the available service and scope the movement. Product-specific pharmaceutical qualification, storage arrangements, and monitoring requirements should be confirmed before booking.

If the shipment also needs a warehouse and onward distribution, use our guide to coordinating freight, warehousing, and distribution in Houston.
